Inventory & Supplies

Track every item in your facility — from food stock to medical kits. The inventory system links directly to donations so stock levels update automatically when in-kind contributions are received.

Adding Inventory Items

Navigate to Inventory and click "Add Item". Each item requires a name, category (e.g., Food, Medical, Clothing, Hygiene), and a unit of measure (e.g., kg, units, litres). You can set an initial stock quantity and configure a low-stock threshold that triggers a warning when supply drops below your minimum.

Recording Stock Movements

Stock levels change through two mechanisms: manual movements and donation linkage. To manually adjust stock, open an item and use "Record Movement" to log a stock-in (purchase or delivery) or stock-out (consumption or disposal) event. Each movement records who made the change and when, creating a full audit trail.

Donation Linkage

When recording an in-kind donation under Finances > Donations, you can map each donated item to an existing inventory item. On saving, the system automatically creates a stock-in movement and increments the item's quantity. This keeps your stock levels accurate without double-entry.

Low-Stock Alerts

Each inventory item has a configurable low-stock threshold. When the quantity in stock falls at or below this threshold, the item is flagged in the inventory list with a warning indicator. This allows procurement staff to act before supplies run out, without manually checking every item every day.
