Managing Residents

The Residents module is the heart of operations. Keep a complete, accurate record of every person in your care — from intake to graduation.

Adding a New Resident

Navigate to Operations > Residents and click "Add Resident". You can record full biographical information including legal name, date of birth, nationality, and admission date. A profile photo can be uploaded directly. The system automatically calculates age from the date of birth field.

Status Updates

Every resident has a status: Active, Graduated, or Left. Active residents are included in all operational calculations including inventory requirements. Graduated and Left residents are preserved in the system for historical reporting and donor impact reports but are excluded from day-to-day operations. Status changes are logged with timestamps.

Uploading Documents

Supporting documents such as birth certificates, medical records, school reports, and admission forms can be attached directly to a resident's profile. Files are stored securely in cloud storage. Only users with the residents.write permission can upload or remove documents.

Resident History & Reporting

Each resident's profile maintains a complete history of status changes, document uploads, and linked sponsorships. When generating reports, you can filter by status, admission year, age range, or nationality. This data supports grant applications and donor impact reporting.
